The Magic Folder
How to Organise Your Website Content So We Can Build Fast (and Beautifully)
Before we design anything, everything needs to live in one place.
This is what I call The Magic Folder and it’s the secret to a smooth, stress-free website build.
Create Your Main Folder (Very Important)
Create a folder in Dropbox
Name it exactly like this:
FirstName LastName – Content
Example:
Jonathan Tilley – Content
Share this folder with me so I have full access
Please use the email address: info@jonathantilley.com
Please have everything in your Magic Folder on or before the due date of your content delivery as agreed upon in your contract
Everything below lives inside this folder as subfolders
Audio Demos Folder (For Voiceover Artists)
Folder name:
Audio Demos
Inside this folder, include:
A. Your Audio Files
Upload all audio demos as MP3s
Name each file exactly how you want it downloaded from your website
Correct naming example:
FirstName LastName – Commercial Demo.mp3
FirstName LastName – Corporate Narration Demo.mp3
Incorrect example:
demo_final_v3.mp3
newcommercialedit.mp3
Think long-term:
“Will my dream client be able to find this file on their computer 6 months from now?”
B. Audio Demo Order Document
Create one document inside the Audio Demos folder that includes:
A list of all demo titles
The order of importance, for example:
Most important demo
Second most important
Least important
If you’re unsure of the exact order, that’s okay just give a general priority.
👉 The clearer you are here, the faster I can place everything correctly.
Videos Folder
Folder name:
Videos
Preferred Option (Best + Fastest)
Upload one document with:
Links to all videos
Hosted on Vimeo (preferred) or YouTube (second choice)
All I need to do is copy + paste the link into Squarespace.
If You Must Upload Video Files
Upload the video files into the Videos folder
Name them clearly and professionally
Still include one document listing:
All video titles
The exact order you want them displayed (1 → however many you have)
If you have 42 videos, I need 1–42 listed clearly.
Why Vimeo Is Better Than YouTube (Short + Sweet Explanation)
You can fully control the video player
No ads before or after your video
No unrelated “recommended videos” from other creators
The end screen stays on-brand
Cleaner, more professional experience for your website
YouTube is great for discovery.
Vimeo is better for websites.
Testimonials Folder
Folder name:
Testimonials
Inside this folder:
One document with all testimonials written out
Exact wording only (no screenshots)
If possible, include:
Client name
Job title or industry (optional but helpful
Client List Folder
Folder name:
Client List
Inside this folder, include:
A. One Master Document (In This Order)
Featured In
Podcasts you’ve guested on
Articles you’ve written
Events you’ve spoken at
Publications, panels, live talks, etc.
Client List
Just the names (logos optional because I can source most of these)
Awards & Nominations
Name of the award
Year (if applicable)
B. Logos & Graphics
Upload logos only for:
Featured In
Awards & nominations
These are usually provided by the organisation itself so please include them.
DO NOT UPLOAD YOUR CLIENT LOGOS. I will source the latest most up to date client logos for you.
Photos Folder
Folder name:
Photos
Photos are one of the most important parts of your website, so this folder needs to be organised clearly and intentionally.
Inside the Photos folder, create the following subfolders:
A. Hero Pics Subfolder
Subfolder name:
Hero Pics
This folder should include:
5–10 of your absolute favourite photos of yourself
These should represent:
Who you are now
The most authentic, confident, future version of yourself you are stepping into
These are the images that best capture your energy, personality, and presence
Notes:
Orientation does not matter (vertical or horizontal is fine)
These images will be used for hero sections, About pages, and high-impact placements
Think of Hero Pics as:
“If someone only saw these photos, they would get me.”
B. Other Pics Of Me Subfolder
Subfolder name:
Other Pics Of Me
This folder should include:
All remaining photos from the same photoshoot
Strong supporting images that didn’t make the Hero Pics cut
These photos may still be used throughout the site
C. Past Photos Subfolder (Optional)
Subfolder name:
Past Photos
This folder is for:
Photos from past photoshoots
Older images that still feel aligned with who you are today
If it feels outdated, off-brand, or no longer represents you, leave it out.
D. Behind The Scenes Subfolder (Optional)
Subfolder name:
Behind The Scenes
This folder should include:
Photos of you actively working
Recording, coaching, directing, designing, creating, or in process
Natural, candid moments that show how you work
These images add credibility, context, and personality to your website.
E. Detail Shots Subfolder (Optional)
Subfolder name:
Detail Shots
This folder should include:
Close-up photos of the tools of your trade
Props, equipment, textures, hands-on details
Examples:
Microphone
Headphones
Notebook
Laptop
Camera
Instruments or gear specific to your work
These images are perfect for visual storytelling and design moments.
F. Studio Space Subfolder (Optional)
Subfolder name:
Studio Space
Optional, but very helpful if available.
Include:
Photos of your studio, workspace, or creative environment
If you don’t have these photos, you can skip this folder.
G. Headshots Subfolder (If Applicable)
Subfolder name:
Headshots
If you are an actor or work in an industry that requires headshots:
Upload all current, usable headshots here
Keep these separate from branding photos
7. Old Photos / Personal History Subfolder (Optional)
Folder name:
Personal History
Include any photos that may support your About page, such as:
A childhood photo
Where you’re originally from
Early career or training photos
Previous workplaces or chapters of your life
If it’s relevant to your story then add it.
If not, you can skip this folder.
8. (Optional but Helpful Add-Ons)
If you have any of the following, feel free to include them as folders:
Press Kit (PDFs, bios, headshots)
Brand Assets (logos, fonts, colours)
Downloads (PDFs, lead magnets, media kits)
If you’re unsure, include it anyway. We can always ignore it.
A Note On Labelling your Photos
Don’t relabel them. Just upload them. When going through your imagery I pick the best that fit the template and that align to the direction you are going. So if we only use 10% of those images then the other 90% won’t be used. That’s a lot of unnecessary titling in advance.
When we give the ok on all of the photos that are on the website, then we go back and check the titles on them. If they are already SEO optimised then we leave them as is. If not, we retitle them and then replace the newly titled pic with the older version of the pic.
So in this part of the process, it’s important to get the photos first, then figure out where they go on the website, and finally retitle the chosen photos (if need be) for SEO.
Final Checklist Before You Share
✅ Everything lives inside one Magic folder on Dropbox called “Your Name - Content”
✅ All Subfolder are named correctly
✅ All files are clearly titled
✅ Documents explain order of importance
✅ Your Magic Folder is shared with me on Dropbox at info@jonathantilley.com before or on your due date of content delivery
Once this is done, your website build becomes:
Faster
Cleaner
Less stressful
More strategic
