GET ORGANISED

Open our existing shared Dropbox folder and create a new subfolder called UPDATES (DATE).
Add your final copy, photos, videos, and anything else I'll need. Take your time and make sure everything's ready before moving on.

Send me one email with your instructions: what page, where the changes go, what needs doing, and which files to use.
I'll review everything and confirm when I can schedule your work.

Here's what to include in your email:
A quick description of what you'd like to discuss.
Two or three dates and times that work for you.
Your time zone so we can coordinate our schedules.
I'll reply to confirm a time, and we'll meet on Zoom to work through everything together.
Our meeting will use your prepaid Client Hours, tracked in 15-minute increments.
GET ORGANISED
Know what you want but need to gather your content?
Open our existing shared Dropbox folder and create a new subfolder called UPDATES (DATE).
Add your final copy, photos, videos, and anything else I'll need. Take your time and make sure everything's ready before moving on.
PREPARE YOUR UPDATES
1.Create your Updates Folder
Inside your Magic Folder in Dropbox, create a new subfolder and title it:
UPDATES - DATE
If you have several different updates, organise them with subfolders:
UPDATES - DATE
→ Homepage
→ About Page
→ New Gallery
→ New Photos
Leave everything else in your Magic Folder exactly as it is. Just create your new UPDATES subfolder and put everything related to this round of work inside it.
Then:
2. Only add final content
Before you send your instructions via email, make sure all of your final content I need is actually inside the UPDATES Subfolder. Content like:
your final copy
your final images titled correctly
your final videos or links to YouTube / Vimeo
the correct versions of your files
If you're still waiting for something, wait. Your work isn't ready yet. I'll review your UPDATES folder once you've confirmed that everything is final and ready to go.
Give your files names that make sense. For example, Homepage-Hero.jpg or About-Page-New-Copy.docx rather than IMG_4837.jpg or Final-v3-NEW.docx. The easier everything is to identify, the more efficiently I can work.

Your files live in our shared Dropbox folder.
Next, I need one clear email telling me exactly what you'd like me to do with them.
Please don't send files through email, Instagram, WeTransfer, text messages, smoke signals, carrier pigeons, or wherever else the internet allows us to put things.
Keep everything in one place so I can spend your time doing the work
instead of looking for the work.

Perfect. You've done your part. Now it's time to tell me what you want me to do.

HOW TO WRITE YOUR EMAIL
Tell me exactly what you want
The easier your instructions are to follow, the faster I can work. For every update, give me:
PAGE: Which page are we working on?
LOCATION: Exactly where on the page?
CHANGE: What exactly do you want me to do?
FILES: Where can I find what I need in Dropbox?
NOTES: Anything else I genuinely need to know?
For example:
PAGE: Portfolio
LOCATION: Between Project 43 and Project 44
CHANGE: Add my new Tuscany project using the same gallery layout as Project 43.
FILES: UPDATES - OCTOBER 7 - Tuscany
NOTES: Use Tuscany-04.jpg as the featured image.
All set? Hand it over!
Once your email is sent, you're done for now.
I'll review your instructions and Dropbox folder, get in touch if anything needs clarification, and confirm when I can schedule your updates.
